Adding a New List to a Task Board

Lists are used to organise tasks into stages or categories within a Task Board.

For example, you might create lists such as:

  • To Do
  • In Progress
  • Waiting for Client
  • Scheduled
  • Completed

Each board can contain as many lists as your workflow requires, allowing you to customise the board to match the way your business operates.

What is a List?

A List is a column within a Task Board that groups related tasks together.

Lists help visualise the progress of work and make it easy to move tasks through different stages of a workflow.

Every Task Card belongs to one List at a time and can be moved between Lists as work progresses.

Step 1 – Open Your Task Board

Navigate to the Task Board where you want to create a new List.

Step 2 – Click Add New List

Click the Add New List button.

A new List will be created, ready for you to enter a name.

Step 3 – Enter a Name

Type a meaningful name for the new List.

Examples include:

  • New Tasks
  • Ready to Quote
  • Awaiting Approval
  • Scheduled
  • On Hold
  • Completed

Choose names that clearly describe the stage or category of work.

Step 4 – Press Enter

Press the Enter key on your keyboard to save the List.

The new List will immediately be added to your Task Board.

Repeat as Required

You can continue adding Lists until your board reflects your preferred workflow.

There is no requirement for every board to use the same List names.

Each board can be customised to suit its specific purpose.

Why Use Multiple Lists?

Lists provide a simple visual representation of where work currently sits.

Rather than viewing tasks in a long single list, you can organise them into logical stages and quickly identify:

  • What needs to be started.
  • What is currently in progress.
  • What is waiting on someone else.
  • What has been completed.

This makes it easier for individuals and teams to prioritise their work and monitor progress at a glance.

Best Practice

Keep your List names simple and meaningful.

Most successful boards use workflow stages that are easy for everyone in the team to understand.

Avoid creating unnecessary Lists, as too many columns can make a board more difficult to navigate.

If your workflow changes over time, you can always add, rename or reorganise Lists to better suit your team's processes.
