Create an Opportunity - Automatic JGID ID No Assigned & Cloud Storage Folders Created
This is another one where I'd go beyond the video transcript and explain why the Opportunity stage exists. That will make it much stronger for both customers and AI.
Converting an Enquiry into an Opportunity
Once you've qualified an enquiry and you're ready to begin preparing a quote or tender, the next step is to convert it into an Opportunity.
An Opportunity represents a genuine sales opportunity and becomes the central record for the remainder of the project.
From this point onwards, all Quotes, Jobs and Invoices remain linked to the same Opportunity.
What is an Opportunity?
An Opportunity is the master record for a project.
Once created, it becomes the central hub that links together:
- Quotes
- Jobs
- Invoices
- Progress Invoices
- JHA's
- DLS's
- Cloud Storage Folders
Every project should have a single Opportunity, regardless of how many quotes, jobs or invoices are created later.
Step 1 – Open Your Enquiries
Navigate to Enquiries.
Open the enquiry that you're ready to progress.
Step 2 – Convert to an Opportunity
Click the green Opportunity button in the bottom-right corner of the screen.
JGID will automatically convert the enquiry into an Opportunity.
No information is lost during this process—the enquiry simply progresses to the next stage of the workflow.
A Unique Project ID is Created
As soon as an Opportunity is created, JGID generates a unique Project ID.
This Project ID stays with the project for its entire lifecycle.
The same Project ID is used for:
- Every Quote version
- Every Job
- Every recurring Job
- Every Progress Claim
- Every Invoice
Even if a project contains multiple quotes, revisions, repeat visits or staged invoicing, everything remains grouped under the same Project ID.
Important: The Project ID never changes throughout the life of the project.
Automatic Cloud Storage Folder Creation
If your JGID account is connected to Dropbox, Google Drive or Microsoft OneDrive, creating an Opportunity will also create a dedicated project folder automatically.
The folder name typically includes:
- Project ID
- Client Name
- Site Name
For example:
240015 - ABC Construction - Sydney Office
This folder becomes the central location for all project-related documents.
Automatic Folder Structure
Inside the project folder, JGID automatically creates a folder structure to help organise your project documentation.
Typical documents stored here include:
- Drawings
- Tender documents
- Contracts
- Site photographs
- Specifications
- Certificates
- Correspondence
- Other project files
This allows your entire team to work from the same organised project folder.
Customising Your Folder Structure
Every business works a little differently.
The default folder structure can be customised to suit your workflow.
For example, you may wish to add folders for:
- Permits
- SWMS
- Safety Documents
- QA Documents
- Client Supplied Information
- Defect Reports
- Completion Certificates
If you'd like to customise your folder structure, JGID Support can assist with configuring it for your business.
Why the Opportunity Stage Matters
The Opportunity stage marks the beginning of a project's lifecycle.
From this point forward, everything remains connected under one Project ID.
This means you can easily:
- Track every quote revision.
- Create multiple jobs.
- Schedule recurring work.
- Issue multiple invoices.
- Store all project documentation in one place.
- View the complete history of the project years later.
Rather than creating separate records for each stage, JGID keeps everything connected from the initial enquiry through to final payment.
Best Practice
Once you've confirmed that an enquiry is a genuine opportunity:
- Convert it as soon as practical.
- Keep all related quotes under the same Opportunity.
- Store project documents in the automatically created cloud folder.
- Avoid creating duplicate Opportunities for the same project.
Using one Opportunity per project provides a complete history from the initial enquiry through to completion.
