Making a New Enquiry for a New Client
Absolutely. "Enquiry" is the standard Australian spelling, so that makes much more sense for JGID. Here's the updated version throughout.
How to Create a New Enquiry
An Enquiry is the starting point for new work in JGID.
Whether you've received a phone call, an email, a website enquiry or a referral, creating an enquiry allows you to record the opportunity and begin your workflow.
Every enquiry can be linked to a:
- Client
- Contact
- Job Location
From there, you can continue through your normal workflow by creating an opportunity, quote, job and invoice.
Step 1 – Create a New Enquiry
Click New Enquiry in the top-left corner of JGID, next to the company logo.
You'll be prompted to select or create:
- A Client
- A Contact
- A Location
Step 2 – Search Before Creating
Before creating a new record, always perform a search.
This helps prevent duplicate:
- Clients
- Contacts
- Locations
Simply begin typing the name you're looking for.
If an existing record is found, select it.
If you can't find what you're looking for, you can then create a new record.
Best Practice: Always search first before creating a new Client, Contact or Location.
Step 3 – Create a New Client
If the client doesn't already exist, select New Client.
The only mandatory field is:
- Client Name
For example:
ABC Construction
Additional information can always be added later.
Step 4 – Add a Contact
If required, create a contact for the client.
Fields highlighted in yellow are the recommended fields to complete.
Typically these include information such as:
- First Name
- Surname
- Phone Number
- Email Address
A contact's physical address is generally optional unless it's specifically required for your business.
Step 5 – Add the Job Location
The Location is where the work will actually be carried out.
Unlike the contact address, the Location address is very important.
When creating a location:
- Enter a clear location name.
- Enter the complete site address.
For example:
SP Example 12345
The address entered here is used throughout JGID, including mapping and navigation for your field staff.
Technicians can use the location address to navigate directly to the job site.
Important: Always enter an accurate address for job locations to ensure technicians can easily find the site.
Step 6 – Record the Lead Source
Where possible, select the Lead Source.
Tracking lead sources helps you understand where your enquiries are coming from.
Examples include:
- Website
- Phone Call
- Referral
- Existing Client
- Social Media
- Advertisement
Over time, this information can help measure the effectiveness of your marketing activities.
Step 7 – Set the Priority
Choose the appropriate priority for the enquiry.
Common options include:
- Normal
- Urgent
This helps your team identify enquiries that require immediate attention.
Step 8 – Save the Enquiry
Once you've completed the required information, click Save.
Your enquiry has now been created and is ready to progress through your normal workflow.
Best Practice
To keep your CRM clean and organised:
- Always search before creating new records.
- Only create new Clients, Contacts and Locations when they don't already exist.
- Complete the highlighted (yellow) fields first.
- Always enter an accurate job site address.
- Record the Lead Source whenever possible.
- Set the appropriate priority.
Following these practices helps avoid duplicate records and improves reporting over time.
