Editing Equipment

Overview

As equipment changes throughout its lifecycle, you may need to update its details.

Editing an Equipment Record allows you to keep information such as descriptions, inspection settings, financial information and supporting documents accurate and up to date without affecting the equipment's history.


Before You Begin

Before editing equipment, ensure you have permission to modify Equipment Records.

Changes made to an Equipment Record affect the current information displayed for that item but do not remove its historical inspection or movement records.


Steps

  1. Open Inventory.
  2. Select Instruments.
  3. Locate the equipment you wish to edit.
  4. Open the Equipment Record.
  5. Update the required information.
  6. Click Save.

The updated information is immediately available throughout JGID.


Information You Can Update

Depending on your requirements, you can edit information such as:

  • Item Code
  • Description
  • Category
  • Subcategory
  • Brand
  • Model
  • Size
  • Serial Number
  • Purchase information
  • Financial information
  • Inspection interval
  • Images
  • Attached documents

Keeping this information current improves reporting and equipment management.


Updating Inspection Settings

If your inspection requirements change, you can update the inspection interval for the equipment.

Inspection intervals can be configured in:

  • Days
  • Weeks
  • Months
  • Years

Future inspections will use the updated interval when calculating the next inspection date.


Updating Supporting Documents

Supporting documents can be added or replaced at any time.

Examples include:

  • Product manuals
  • Compliance certificates
  • Warranty information
  • Purchase receipts
  • Vehicle registration documents
  • Insurance documents
  • Photographs

Keeping documentation with the Equipment Record ensures it remains easy to find when required.


What Doesn't Change?

Editing an Equipment Record updates its current information only.

The following information remains preserved:

  • Inspection history.
  • Check In and Check Out history.
  • Previous Job allocations.
  • Historical movement records.

This ensures the Equipment Register continues to provide a complete audit trail throughout the equipment's lifecycle.


Best Practice

  • Keep equipment details up to date as changes occur.
  • Update inspection intervals whenever maintenance requirements change.
  • Replace outdated documents with the latest versions.
  • Review Equipment Records periodically to ensure information remains accurate.
  • Avoid changing Item Codes unless absolutely necessary, as they are often referenced throughout your business.
