Adding Equipment
Overview
Before equipment can be inspected, tracked or allocated to Jobs, it must first be added to the Equipment Register.
Each item you create becomes its own Equipment Record, allowing JGID to maintain its details, inspection history, movement history and supporting documents throughout its lifecycle.
Before You Begin
Before creating a new equipment record, consider the information you would like to record, such as:
- Item Code
- Category
- Subcategory
- Description
- Brand
- Model
- Size
- Serial Number
You can always add additional information later.
Steps
- Open Inventory.
- Select Instruments.
- Click Add.
- Enter the equipment details.
- Complete any additional register information as required.
- Click Save.
The equipment is now available within your Equipment Register.
Completing the Equipment Record
Depending on your workflow, you may wish to record additional information such as:
- Purchase date.
- Date of first use.
- Inspection interval.
- Cost price.
- Sale price.
- Account code.
- Tax code.
Completing this information helps build a more comprehensive Equipment Register.
Attaching Documents
Each Equipment Record can store supporting documents and images.
Common examples include:
- Product photographs.
- User manuals.
- Compliance certificates.
- Warranty information.
- Purchase receipts.
- Vehicle registration documents.
- Insurance documents.
Keeping documents with the equipment makes them easy to locate whenever they are needed.
Equipment Identification
If you intend to track equipment electronically, record the item's identifier.
JGID supports:
- RFID
- NFC
- QR codes
- Barcodes
Each identifier should be unique to the individual item.
Inspection Settings
If the equipment requires regular inspections, configure the inspection interval before placing it into service.
Inspection intervals can be measured in:
- Days
- Weeks
- Months
- Years
The next inspection date will then be calculated automatically each time an inspection is completed.
Best Practice
- Create meaningful Categories and Subcategories before adding large numbers of items.
- Use consistent Item Codes throughout your Equipment Register.
- Record serial numbers wherever possible.
- Attach photographs and important documents while creating the item.
- Configure inspection intervals before issuing equipment into the field.
