Performing an Equipment Inspection
Overview
Equipment inspections allow you to record the condition of your equipment while automatically updating its Equipment Register and inspection history.
Inspections can be completed using RFID, NFC, QR codes or barcodes from either a desktop computer or a mobile device.
Before You Begin
Before performing an inspection, ensure:
- The equipment has been added to the Equipment Register.
- Equipment identification tags (RFID, NFC, QR codes or barcodes) can be scanned.
- The inspection interval has been configured for the equipment, if required.
Steps
- Open Inventory.
- Select Inspection.
- Select the person performing the inspection.
- Scan each item using RFID, NFC, QR codes or barcodes.
- Select the inspection result for each item.
- Repeat until all equipment has been inspected.
- Click Save.
The inspection is now complete and the Equipment Register is automatically updated.
Inspection Results
Each scanned item can be recorded as one of the following:
- Passed – The equipment is suitable for continued use.
- Failed – The equipment requires attention before it can be returned to service.
- Missing – The equipment could not be located.
- Quarantined – The equipment has been isolated while awaiting repair or assessment.
- Removed from Service – The equipment has permanently reached the end of its working life.
What Happens After an Inspection?
When an inspection is saved, JGID automatically updates the Equipment Register.
This includes:
- The latest inspection result.
- The inspection date.
- The inspector.
- The complete inspection history.
- The next inspection date (based on the configured inspection interval).
Previous inspections are never overwritten, ensuring a complete audit trail is maintained.
Viewing Inspection History
The Equipment Register contains the full inspection history for every item.
From the Equipment Register you can review:
- Previous inspection dates.
- Inspection results.
- The current inspection status.
- The next scheduled inspection.
This information remains available throughout the life of the equipment.
Using Filters
The Equipment Register includes advanced filtering options to help you find equipment quickly.
For example, you can filter by:
- Category.
- Subcategory.
- Inspection Result.
- Check In or Check Out Status.
These filters make it easy to identify equipment requiring attention or to prepare inspection reports.
Best Practice
- Complete inspections as they are performed.
- Record the correct inspection result for every item.
- Review failed, quarantined and missing equipment promptly.
- Keep inspection intervals up to date.
- Use filtering to quickly identify equipment requiring follow-up.
