Checking Equipment In
Overview
Checking equipment in records that equipment has returned to its normal home location after being used.
Checking equipment in updates the Equipment Register and records when the equipment was returned, creating a complete movement history for every item.
Equipment can be identified using RFID, NFC, QR codes or barcodes.
Before You Begin
Before checking equipment in, ensure:
- The equipment has previously been checked out.
- Equipment identification tags (RFID, NFC, QR codes or barcodes) can be scanned.
Steps
- Open Inventory.
- Select Check In.
- Scan each item using RFID, NFC, QR codes or barcodes.
- Once all items have been scanned, click Save.
The selected equipment is now checked back in.
What Happens When Equipment is Checked In?
When equipment is checked in, JGID records:
- The date and time.
- The movement.
- The updated Check In status.
The equipment remains within its Equipment Register, along with its complete inspection and movement history.
Checking Equipment Back to Its Home
Checking equipment in normally indicates that it has returned to its designated home location.
Depending on your business, this may be:
- A warehouse.
- A depot.
- A workshop.
- A vehicle.
- A kit bag.
- A site box.
Once checked in, the equipment is available to be checked out again when required.
When Not to Check Equipment In
If equipment is moving directly from one Job to another, it does not need to be checked back in first.
Instead, simply perform another Check Out and allocate it to the next Job.
This more accurately reflects how equipment moves through the field and maintains a continuous movement history.
Viewing Checked In Equipment
The Equipment Register allows you to see:
- Whether equipment is currently checked in.
- The date it was last checked in.
- Its complete movement history.
- Previous Job allocations.
This information is available at any time from the Equipment Register.
Best Practice
- Check equipment in when it returns to its designated home location.
- Do not check equipment in between Jobs unless it has genuinely returned home.
- Scan every item to maintain an accurate movement history.
- Review checked in equipment regularly to ensure it is ready for its next allocation.
