Checking Equipment Out

Overview

Checking equipment out records that equipment has left its normal home location and is being allocated to a user and, optionally, a Job.

This helps maintain an accurate record of where equipment is, who is responsible for it and which Job it is being used on.

Equipment can be identified using RFID, NFC, QR codes or barcodes.


Before You Begin

Before checking equipment out, ensure:

  • The equipment has been added to the Equipment Register.
  • Equipment identification tags (RFID, NFC, QR codes or barcodes) have been applied if required.
  • The responsible user and Job already exist in JGID.

Steps

  1. Open Inventory.
  2. Select Check Out.
  3. Select the responsible user.
  4. Select the Job the equipment will be used on (if applicable).
  5. Click Continue.
  6. Scan each item using RFID, NFC, QR codes or barcodes.
  7. Once all items have been scanned, click Save.

The selected equipment is now checked out.


Viewing Checked Out Equipment

After equipment has been checked out, it can be viewed in several places.

Within the Equipment Register you can see:

  • The current Check Out status.
  • The responsible user.
  • The current Job.
  • The movement history.

Within the Job record, the Item Tracking tab displays all equipment that has been allocated to that Job.


Moving Equipment Between Jobs

Equipment does not need to be checked back in before being used on another Job.

If equipment moves directly from one Job to another, simply perform another Check Out and select the new Job.

JGID records the movement automatically, maintaining a complete history without unnecessary Check In and Check Out transactions.


Best Practice

  • Check equipment out whenever it leaves its normal home location.
  • Allocate equipment to the correct Job whenever possible.
  • Scan every item to maintain an accurate audit trail.
  • If equipment moves directly to another Job, perform another Check Out rather than checking it back in first.
