Assigning Tasks
Overview
Assigning a Task makes it clear who is responsible for completing the work.
Rather than relying on verbal conversations or assumptions, assigning Tasks ensures everyone knows what they're responsible for and who else is involved.
Unlike many task management systems, JGID allows multiple users to be assigned to the same Task.
Assigning One or More Users
Every Task can be assigned to one or more users.
This allows multiple people to collaborate on the same Task while keeping everyone informed of its progress.
For example, you might assign:
- One user to complete the work.
- Another user to review it.
- A manager who simply wants to stay informed.
Everyone assigned to the Task remains connected throughout its lifecycle.
Board Permissions
Users can only be assigned to Tasks on Boards they have access to.
For example:
- Tasks on the Main Board can be assigned to any user in your JGID account.
- Tasks on private Boards can only be assigned to users who have been invited to that Board.
If you change a Task to another Board, the list of available users automatically updates to match that Board's permissions.
Staying in the Loop
Assigning multiple users isn't just about sharing responsibility.
It's also a simple way to keep the right people informed.
As the Task progresses, assigned users receive notifications when important changes occur, such as:
- The Task being updated.
- The Task moving to another List.
- The Task being completed.
This helps reduce unnecessary emails and ensures everyone stays informed.
Why Managers Love Multiple Assignees
Many Tasks involve more than one person.
For example:
A salesperson follows up a Quote.
The estimator updates the pricing.
A manager approves the changes.
Rather than creating several separate Tasks, everyone can remain connected to the same Task and see its progress in real time.
Best Practice
- Always assign the person responsible for completing the Task.
- Add additional users who need to stay informed.
- Remove users who no longer need visibility.
- Ensure users have access to the relevant Board before assigning the Task.
