Understanding Board Ownership & Sharing
Overview
Every Task Board in JGID has an Owner.
The Owner controls who has access to the Board and how the Board is organised.
This allows different teams to collaborate on their own work while keeping other Boards private.
The Main Board
Every JGID account includes a Main Board.
Unlike every other Board, the Main Board is automatically shared with every user who has access to your JGID account.
This makes it the ideal place for company-wide Tasks that everyone should be able to see and contribute to.
Creating a New Board
When you create a new Board, it is private by default.
Only you, as the Board Owner, will initially have access.
You can then choose which users should be invited to the Board.
This allows each department, project or team to have its own dedicated workspace.
The Board Owner
The user who creates a Board automatically becomes its Owner.
The Owner is identified by a small crown icon.
Only the Board Owner can:
- Invite users to the Board.
- Remove users from the Board.
- Create new Lists.
- Rename Lists.
- Modify the Board's workflow.
This helps ensure everyone using the Board follows the same process while preventing accidental changes.
Sharing a Board
Boards can be shared with as many users as required.
Once invited, those users can:
- View the Board.
- Create Tasks.
- Edit Tasks.
- Move Tasks between Lists.
- Complete Tasks.
Sharing a Board makes it easy for teams to collaborate while ensuring only the right people have access.
Assigning Tasks
Users can only be assigned to Tasks if they have access to that Board.
For example:
If a Task is on the Main Board, it can be assigned to any user in your JGID account.
If the Task belongs to a private Board, only users who have been invited to that Board will be available for assignment.
This prevents Tasks from being assigned to people who can't access the work.
Changing a Task's Board
If you move a Task to a different Board, the available users for assignment will automatically update to reflect the users who have access to the new Board.
This ensures Tasks always remain within the correct team or department.
Why Managers Love Board Ownership
Not every team needs access to every Task.
Sales teams don't necessarily need to see warehouse preparation Tasks, and warehouse staff don't necessarily need access to quote follow-up Boards.
Board Ownership allows each team to manage its own workflow while keeping company-wide Tasks on the shared Main Board.
The result is a cleaner, more secure and more organised task management system.
Best Practice
- Use the Main Board for company-wide Tasks.
- Create separate Boards for different teams or workflows.
- Only invite users who genuinely need access.
- Keep Board ownership with the person responsible for managing that workflow.
- Review Board access periodically as team members or responsibilities change.
