Understanding Task Context

Overview

Every Task in JGID can have a Context.

The Context tells JGID what the Task relates to, allowing it to remain connected to the relevant business record.

Rather than creating disconnected to-do lists, Context keeps your Tasks linked to the work they're supporting.

What Can a Task Be Linked To?

Tasks can be linked to:

  • Enquiries
  • Opportunities
  • Quotes
  • Jobs
  • Invoices

When a Task is created from one of these records, the Context is assigned automatically.

This allows anyone viewing the Task to quickly identify what it's related to and navigate back to the original record.

Creating Tasks from Within a Record

One of the easiest ways to create a Task is directly from an Opportunity, Quote, Job or Invoice.

When created this way, the Context is automatically populated.

For example:

  • A Quote follow-up Task automatically links to that Quote.
  • A Job Task automatically links to that Job.
  • An Invoice reminder automatically links to that Invoice.

Nothing more needs to be entered.

Creating Tasks from a Board

Tasks created directly from a Task Board don't automatically have a Context because they haven't been created from a business record.

However, you can still assign a Context manually while creating or editing the Task.

This allows a general Task to later become associated with a specific Enquiry, Opportunity, Quote, Job or Invoice.

Why Context Matters

Context saves time and removes guesswork.

Instead of asking:

"Which Job was this for?"

or

"Which Quote were we talking about?"

the answer is already attached to the Task.

Everyone involved can immediately understand what the Task relates to without searching through the CRM.

Context Throughout the Business

Because Tasks can be linked throughout the JGID workflow, they remain connected to the work they're supporting.

For example:

Enquiry

Opportunity

Quote

Job

Invoice

Tasks can be created at any stage of this process, ensuring that important actions remain connected to the correct business record from beginning to end.

Why Managers Love Context

One of the biggest causes of lost productivity is disconnected information.

When Tasks live separately from customer records, people waste time trying to work out what a Task relates to.

By linking Tasks directly to business records, JGID keeps conversations, actions and projects connected, making it much easier for teams to collaborate and pick up where someone else left off.

Best Practice

  • Create Tasks directly from the relevant business record whenever possible.
  • Add a Context manually when creating standalone Tasks that relate to an existing Enquiry, Opportunity, Quote, Job or Invoice.
  • Use Context to keep work connected rather than relying on Task titles alone.
  • Review the Context before completing a Task to ensure you're working on the correct record.
