Understanding the Filter View
Overview
While Task Boards provide a visual workflow, the Filter View allows you to see every Task in a powerful list format.
Instead of looking at one Board at a time, you can search, sort, group and filter Tasks across multiple Boards to quickly find exactly what you're looking for.
For many managers and supervisors, the Filter View becomes the primary way of managing Tasks.
One List, Every Task
The Filter View displays Tasks in a spreadsheet-style layout.
Rather than organising Tasks into Lists, every Task is displayed in a single table that can be customised to suit your needs.
This makes it ideal for finding information quickly or reviewing work across multiple Boards.
Customise the Columns
You can choose which information is displayed by showing or hiding columns.
Available information includes:
- Board
- List
- Task Title
- Due Date
- Completed Date
- Status
- Starred
- Context
- Tags
- Assigned Users
- Created Date
This allows each user to create a view that's relevant to the way they work.
Powerful Searching
The Filter View allows you to search across your Tasks using the information displayed in the list.
For example, you can quickly search by:
- Task title
- Context
- Tags
- Assigned users
This makes it easy to locate Tasks, even if you don't remember which Board they're on.
Advanced Filtering
The Filter View allows you to apply multiple filters at the same time, making it easy to create highly targeted views of your work.
For example, you might choose to display:
- Tasks assigned to yourself.
- Tasks due this week.
- Tasks on a specific Board.
- Tasks with a particular Tag.
- Completed or incomplete Tasks.
- Starred Tasks.
You can also apply multiple filters to the same column.
For example, you could display Tasks that are assigned to Andre or John, or show work from several Boards in a single view.
Likewise, filters can be used to exclude information.
For example, you could choose to:
- Exclude the To Do List so you only see work that's currently in progress.
- Exclude a particular Board from your results.
- Exclude completed Tasks.
- Exclude specific Tags.
By combining multiple include and exclude filters, you can quickly create exactly the view you need without affecting other users.
Managing Your Own Work
One of the most popular uses of the Filter View is creating a personalised task list.
For example, you could create a filter that displays:
- Assigned User = Me
- Status = Not Completed
- List ≠ To Do
This would immediately show every active Task assigned to you across all Boards, while hiding Tasks that haven't been started yet.
Additional filters can be added at any time, allowing you to create highly personalised views of your workload.
Why Managers Love the Filter View
Task Boards provide an excellent visual workflow for individual teams.
The Filter View takes this a step further by allowing managers to monitor work across the entire organisation.
Rather than opening multiple Boards, managers can instantly answer questions such as:
- What Tasks are overdue?
- What work has been completed today?
- Who has the most outstanding Tasks?
- Which Quotes still need following up?
- What work is assigned to a particular employee?
It transforms your Task system from a collection of Boards into a powerful management and reporting tool.
Best Practice
- Use Task Boards to manage day-to-day workflow.
- Use the Filter View when searching, reporting or reviewing work.
- Create filters that match the way you work.
- Show only the columns that are useful for your role.
- Take advantage of multiple filters on the same column to create highly targeted views.
- Use exclusion filters to remove information that isn't relevant, helping you focus on the work that matters most.
- Combine multiple include and exclude filters to build personalised views without affecting other users.
