Understanding Task Boards
Overview
Task Boards help organise work into visual workflows.
Rather than keeping every task in one long list, Boards allow you to separate different areas of your business into their own workspaces.
For example, you might have separate Boards for:
- Quote Follow Up
- Materials to be Ordered
- Warehouse
- Incident Investigations
- Reports
- System Layouts
- Personal Tasks
Each Board can then contain its own workflow using Lists.
The Main Board
Every JGID account includes a Main Board.
The Main Board is unique because it is shared with every user who has access to your JGID account.
This makes it ideal for general company-wide tasks that everyone can see and collaborate on.
Many businesses begin with simple Lists such as:
- To Do
- Doing
- Done
Additional Lists can be added as your workflow evolves.
Creating Additional Boards
There is no limit to the number of Task Boards you can create.
Additional Boards allow different teams, departments or projects to manage their own work independently.
For example:
Sales Team
- Quotes Sent
- First Follow Up
- Second Follow Up
- Third Follow Up
Warehouse
- Materials to Prepare
- Ready for Collection
- Completed
Administration
- Deposit Invoices
- Reports
- Customer Follow Up
Each Board can be customised to suit the way your business works.
Sharing Boards
Unlike the Main Board, new Boards are private until they are shared.
When creating a Board, you choose which users should have access.
Only users who have been invited to a Board can:
- View its Tasks.
- Create new Tasks.
- Be assigned Tasks on that Board.
This allows different teams to work independently while keeping sensitive or department-specific work private.
Board Ownership
The person who creates a Board automatically becomes its Owner.
The Owner is identified by a small crown icon.
Only the Board Owner can:
- Invite or remove users.
- Create new Lists.
- Modify the Board's workflow.
This helps maintain consistency and prevents accidental changes to the team's process.
One Board, One Workflow
Each Board represents a different workflow.
For example, a Quote Follow Up Board might contain Lists such as:
Quote Sent
↓
First Follow Up
↓
Second Follow Up
↓
Third Follow Up
↓
Won / Lost
Meanwhile, a Warehouse Board might follow a completely different process.
Because every Board is independent, each department can design a workflow that suits the work they perform.
Why Managers Love Task Boards
Different teams often have very different ways of working.
Task Boards allow each team to build a workflow that reflects their own responsibilities while still keeping everything inside JGID.
Instead of forcing every department into the same process, each Board can evolve as the business grows.
Best Practice
- Use the Main Board for company-wide tasks.
- Create separate Boards for different departments or workflows.
- Only invite users who need access to each Board.
- Keep each Board focused on a single business process.
- Review your workflow occasionally and update Lists as your processes evolve.
