Understanding Tasks

Overview

Not every piece of work in your business is a Quote, Job or Invoice.

Someone still needs to:

  • Follow up a Quote.
  • Order materials.
  • Prepare equipment.
  • Call a customer.
  • Complete a report.
  • Investigate an incident.
  • Update procedures.
  • Chase a supplier.
  • Organise training.

JGID Tasks are designed to manage all of this work in one place.

Rather than relying on sticky notes, emails or separate task management software, JGID provides a fully integrated task management system that keeps your team organised and accountable.

More Than a To-Do List

Tasks are much more than a personal checklist.

They can be:

  • Assigned to one or more users.
  • Given due dates and reminders.
  • Organised into Boards and Lists.
  • Tagged for easy filtering.
  • Linked directly to business records within JGID.
  • Tracked as they progress from one stage to another.

This allows teams to collaborate on work without losing visibility of what still needs to be done.

Tasks Can Be Linked to Your Business

One of the biggest advantages of JGID Tasks is that they can be linked directly to your business records.

For example, a Task can be created from an:

  • Opportunity
  • Quote
  • Job
  • Invoice

This means the Task always has context.

Rather than wondering which customer or project a task relates to, users can quickly navigate back to the associated record.

Examples include:

  • Follow up an outstanding Quote.
  • Order materials for a Job.
  • Request additional information from a customer.
  • Chase payment of an Invoice.

Everything stays connected.

Boards, Lists and Tasks

Tasks are organised using three simple levels.

Boards organise different areas of work.

Within each Board are one or more Lists, representing the stages of a workflow.

Each individual Task is then moved between those Lists as work progresses.

For example:

Board

Quote Follow Up

Lists

Quote Sent → First Follow Up → Second Follow Up → Won / Lost

Tasks

Individual customer quotes moving through that workflow.

This visual approach allows everyone to immediately see what needs attention.

Built for Teams

Tasks are designed for collaboration.

Unlike personal to-do lists, Tasks can be assigned to multiple users, shared with specific teams and updated by everyone who has access to the Board.

As work progresses, everyone involved stays informed without needing separate emails or meetings.

Why Managers Love Tasks

Successful businesses have hundreds of small tasks happening every day that never become Jobs.

Following up Quotes, ordering materials, preparing equipment, completing reports and managing office administration are all critical to running a business.

JGID brings this work together into one system, allowing managers to see what needs to be done, who's responsible and how work is progressing.

Instead of work living in people's heads, it becomes visible to the entire team.

Best Practice

  • Create Tasks whenever work needs to be tracked.
  • Link Tasks to the relevant business record whenever possible.
  • Organise work using Boards and Lists.
  • Assign responsibility rather than assuming someone will do it.
  • Review your Tasks regularly to keep work flowing.
