Understanding Client Documents

Overview

Every Client in JGID automatically builds a complete history of your relationship with that organisation.

Rather than searching through different areas of the software, you can open a Client and immediately see every document that has been created for them.

This provides a single place to review previous work, quotations, invoices and ongoing opportunities.

What Documents Are Displayed?

The Client Documents tab includes all documents associated with that Client, including:

  • Enquiries
  • Opportunities
  • Quotes
  • Jobs
  • Invoices

This history spans all Locations linked to that Client, giving you a complete picture of your business relationship.

Why Is This Useful?

Having every document in one place makes it easy to:

  • Review previous work before preparing a new Quote.
  • Check the status of current Opportunities or Jobs.
  • Find previous Invoices.
  • Understand the history of a customer relationship.
  • See how a Client's portfolio has grown over time.

Instead of searching multiple lists, everything can be accessed directly from the Client record.

Client History vs Location History

It's important to understand the difference between the two.

Client Documents show everything completed for that Client across all of their Locations.

Location Documents show everything completed at a specific Location, regardless of which Client requested the work.

Together, these provide two powerful ways to view your business:

  • A portfolio view of work performed for a Client.
  • A complete operational history of an individual Location.

Why Managers Love Client Documents

Opening a Client gives managers an instant overview of their relationship with that organisation.

Whether preparing for a meeting, quoting additional work or reviewing previous projects, the complete history is only one click away.

This saves time, improves customer service and helps identify new opportunities within a Client's portfolio.

Best Practice

  • Use the Client Documents tab before preparing new Quotes.
  • Review previous Jobs and Invoices to understand the customer's history.
  • Use the Location record when you need the history of a specific site.
  • Keep all work linked to the correct Client to maintain a complete portfolio history.
