Understanding Job Statuses

Overview

Job Statuses indicate where a Job is within its lifecycle, from initial planning through to completion.

They help your team quickly identify which Jobs are ready to begin, currently in progress, completed or aborted.

Preparation

A Job in Preparation is still being organised before work begins.

During this stage you might:

  • Allocate technicians.
  • Schedule the Job.
  • Finalise documentation.
  • Confirm materials and equipment.

Pending

A Pending Job has been prepared and is waiting to commence.

This status is commonly used when the Job is scheduled but work has not yet started.

Current

A Current Job is actively being worked on.

Technicians may be:

  • Clocked in.
  • Completing Worksheets.
  • Recording Field Notes.
  • Completing Daily Labour Summaries.
  • Completing Job Hazard Analyses.

Completed

A Completed Job indicates that all work has finished.

Completing a Job automatically creates a Draft Invoice and, if configured, generates the next Job in an Automatic Job Repetition.

Aborted

An Aborted Job indicates that the work will not proceed or has been stopped before completion.

Unlike a Completed Job, aborting a Job does not create a Draft Invoice. The workflow ends at the Job, making this the appropriate status when no invoice will be issued.

Why Job Statuses Matter

Keeping Job Statuses up to date helps everyone understand the progress of work.

Managers can quickly identify:

  • Jobs that still require preparation.
  • Jobs currently being worked on.
  • Jobs ready for invoicing.
  • Jobs that have been aborted.

Accurate statuses also improve scheduling, reporting and forecasting.

Best Practice

  • Update Job Statuses as work progresses.
  • Complete Jobs only after all required work has been recorded.
  • Abort Jobs that will not proceed to invoicing.
  • Keep Job Statuses up to date to improve scheduling and reporting.
