Understanding Automatic Job Repetitions
Overview
Job Repetitions allow you to automate recurring work by creating the next Job in a series when the current Job is completed.
This is ideal for customers who require work on a regular schedule, such as weekly, monthly, quarterly, six-monthly or annual maintenance.
Once configured, JGID automatically creates the next Job in Preparation when the current Job is marked as complete, helping ensure recurring work is never missed.
Why Use Job Repetitions?
Job Repetitions are commonly used for recurring work such as:
- Preventative maintenance
- Height safety inspections
- Window cleaning
- Equipment servicing
- Scheduled compliance inspections
- Routine maintenance contracts
Each repetition becomes its own Job, allowing you to schedule, complete and invoice it independently while maintaining the history of the recurring project.
Creating a Job Repetition
To create a recurring Job:
- Create and schedule the first Job.
- Open the Job.
- Select the Conditions and Details tab.
- Locate the Job Repetition and Scheduling section.
- Select Create Repetition.
- Choose the repetition frequency.
- Configure the repetition settings.
- Save your changes.
Repetition Options
Depending on the frequency selected, you can configure:
- Daily
- Weekly
- Monthly
- Yearly
You can also choose:
- Repeat every specified number of days, weeks, months or years.
- The day of the week (for weekly repetitions).
- Whether the repetition never ends.
- Or whether it finishes after a specified number of repetitions.
How Automatic Repetitions Work
After a repetition has been configured, only the next Job in the series exists as an active Job.
Future repetitions are shown as placeholders in the Calendar until they are required.
When the current Job is marked as Complete, JGID automatically creates the next Job in the series with a status of Preparation.
This keeps your Job list clean while ensuring future work is ready when needed.
Creating a Missed Repetition
If a Job is completed before a repetition has been configured, the next Job will not be created automatically.
Simply:
- Open the completed Job.
- Select Create Repetition.
- Configure the recurrence.
- Save the repetition.
From that point onwards, future Jobs will again be created automatically as each Job is completed.
Managing Repetitions
You can return to the Job Repetition section at any time to:
- Edit the repetition.
- Stop the repetition.
- View upcoming scheduled occurrences.
- Display only this recurring Job in the Calendar using View in Calendar.
The View in Calendar option filters the Calendar to display only the selected recurring Job, making it easier to review future scheduling without distraction from other Jobs.
Job Repetitions and Invoicing
For ongoing work that is invoiced regularly (such as weekly, fortnightly or monthly), creating a new Job Repetition for each invoice period is recommended.
This keeps:
- Worksheets
- Daily Labour Summaries
- Timesheets
- Invoices
grouped together for each billing period, reducing the risk of labour being recorded against an already invoiced Job.
Best Practice
- Set up the repetition before completing the first Job.
- Use Job Repetitions for all recurring maintenance work.
- Leave the repetition set to Never Ends if the contract has no planned finish date.
- Use separate Job Repetitions for recurring invoice periods on long-running service contracts.
- Review upcoming repetitions regularly to ensure scheduling remains accurate.
