Creating a Job
Overview
A Job represents the work your business has been engaged to perform for a customer.
In most cases, a Job is created automatically when a customer accepts a Quote through JGID. Alternatively, it can be created manually once you have received another form of approval, such as a purchase order, email or verbal acceptance.
Once created, the Job becomes the central location for scheduling, field work, progress tracking, invoicing and project management.
Creating a Job from an Accepted Quote
If a customer accepts your Quote using the JGID approval link:
- The Quote is automatically approved.
- A signed copy of the Quote is saved to your connected cloud storage.
- The customer receives a signed copy by email.
- Your organisation can also receive an email notification.
- The Job is automatically created with a status of Preparation.
Manually Approving a Quote
If the customer approves the Quote outside of JGID, such as by:
- Purchase Order
- Telephone
- Face-to-face discussion
You can approve the Quote manually.
To do this:
- Open the Quote.
- Select Quote Accepted.
- Confirm that you have verified the customer's approval.
- Optionally record the customer reference or purchase order number.
- Optionally attach supporting documents such as the purchase order.
- Confirm the approval.
The Job will be created with a status of Preparation.
Recording who approved the Quote provides an audit trail and helps ensure all Jobs have been properly authorised.
Preparing the Job
Once the Job has been created, you can begin preparing it for delivery.
Typical next steps include:
- Scheduling the Job.
- Assigning technicians.
- Reviewing the Job Scope.
- Preparing safety documentation.
- Recording customer purchase order details.
- Planning recurring work where required.
Managing the Job
As work progresses, the Job becomes the central record for the entire project.
From within the Job you can access:
- Tasks
- Notes
- Field Notes
- Worksheets
- Daily Labour Summaries
- Job Hazard Analyses
- Checklists
- Equipment scanned to the Job (RFID, QR Codes, NFC and Barcodes)
- Related Quotes, Orders and Invoices
Related Documents
Every Job contains a Related Documents section.
This allows you to quickly view every document associated with the original Project, including:
- Quotes
- Jobs
- Orders
- Invoices
This provides a complete history of the Project from the original Opportunity through to the final invoice.
Best Practice
- Create Jobs from approved Quotes wherever possible.
- Record purchase order numbers and supporting documents when available.
- Use the Job as the central location for managing the entire project.
- Access related documents to view the complete project history.
