Understanding Signed Documents

Overview

When a document is signed in JGID, the signed PDF is not stored within the JGID software itself.

Instead, signed documents are automatically saved to your connected cloud storage.

This approach helps protect the privacy and security of handwritten signatures while ensuring your organisation retains a permanent signed record.


Which Documents Does This Apply To?

This behaviour applies to all JGID documents that support electronic signatures, including:

  • Daily Labour Summaries (DLS)
  • Job Hazard Analyses (JHA)

Why Are Signatures Not Stored in JGID?

For privacy and security reasons, JGID does not retain copies of handwritten signature images.

Instead, only the completed document data is stored within JGID.

The signed PDF itself is saved directly to your connected cloud storage.


What Will I See in JGID?

If you reopen a previously completed DLS or JHA within JGID, you will still see all of the recorded information, including:

  • Hours worked
  • Materials used
  • Comments
  • Hazards and controls (where applicable)
  • Other recorded details

However, the signature fields will appear blank.

This is expected behaviour and does not mean the signatures have been lost.


Where Is the Signed Copy?

The signed PDF is automatically saved to the Job's connected cloud storage folder.

This is the official signed copy of the document.

Whether the document was completed from the desktop application or signed using the JGID Business Mobile App, the signed PDF is always stored in the same location.


Why Cloud Storage Is Important

Because signed PDFs are only stored in your connected cloud storage, we strongly recommend connecting a supported cloud storage provider before using signed documents.

Without connected cloud storage, your organisation will not retain a signed PDF of completed documents.


Best Practice

  • Connect a supported cloud storage provider before using signed documents.
  • Treat the PDF stored in your cloud storage as the official signed record.
  • Do not expect signature images to appear when reopening documents inside JGID.
  • Ensure your cloud storage is included in your organisation's normal backup procedures.
