Overview
Once technicians have completed and submitted their Worksheets, they are available for review by office staff.
Reviewing Worksheets allows supervisors and administrators to verify labour hours, check how time has been allocated across the Job Scope and identify any issues before preparing invoices or processing payroll.
Why Review Worksheets?
Worksheets provide valuable information about how a Job is progressing.
Reviewing them helps you:
- Verify labour hours worked.
- Check progress against the quoted scope.
- Confirm labour has been allocated to the correct activities.
- Identify discrepancies before invoicing.
- Monitor productivity throughout the Job.
What Should You Check?
When reviewing a Worksheet, consider the following:
- Start and finish times.
- Break durations.
- Total worked hours.
- Time allocated to each Job Scope item.
- Comments or allowances entered by the technician.
Ensure the total allocated time matches the technician's recorded working time.
Reviewing Labour Allocation
Each Worksheet records how labour has been distributed across the Job Scope.
This allows you to see:
- Which activities have been completed.
- How much time has been spent on each task.
- Whether the Job is progressing as expected.
This information can also assist with estimating future projects.
Correcting Errors
If a Worksheet contains incorrect information, review it with the technician before creating invoices or processing payroll.
Resolving discrepancies early helps maintain accurate records and avoids unnecessary corrections later.
Before Moving On
Before progressing to invoicing, ensure:
- All technicians have submitted their Worksheets.
- Labour allocations have been reviewed.
- Any discrepancies have been resolved.
Once complete, you can review any Daily Labour Summaries (DLS) that have been submitted before creating invoices.
Best Practice
- Review Worksheets daily where possible.
- Follow up missing Worksheets promptly.
- Check that labour allocations accurately reflect the work completed.
- Resolve questions while the Job is still fresh in everyone's mind.
