Using Field Notes - it's how the Pro's do it!

Overview

Field Notes allow your office and field teams to share important information throughout the life of a Job.

They can be created during the Enquiry, Opportunity or Job stages and remain available to everyone working on the project.

Technicians can also add new notes and photos from the field, keeping the office updated with the latest site information.


Viewing Field Notes

Open the scheduled Job and select Field Notes.

Here you'll see any notes and photos that have already been recorded for the project.

These may include:

  • Site access instructions.
  • Parking information.
  • Access codes.
  • Customer contact details.
  • Safe access points.
  • Anchor locations.
  • Equipment requirements.
  • Site photos.
  • General project instructions.

Review these notes before starting work to ensure you have all the information you need.


Adding Field Notes

While working on site, you can add additional notes at any time.

Field Notes can be used to record:

  • Site progress.
  • Unexpected issues.
  • Additional work requested.
  • Customer discussions.
  • Safety observations.
  • Completion notes.

These notes become immediately available to office staff and other authorised users.


Adding Photos

Photos can also be attached to Field Notes.

This is particularly useful for recording:

  • Before and after photos.
  • Site conditions.
  • Defects.
  • Damage.
  • Completed work.
  • Supporting documentation.

Photos provide valuable context for both the office and the customer.


Recording Purchases

If you purchase materials or consumables during a Job, record them in the Field Notes.

We recommend attaching a photo of the receipt immediately.

This helps ensure expenses are not forgotten and can be reviewed before invoicing.

Materials that need to appear on the client's invoice should be recorded through the Daily Labour Summary (DLS) if they are included in the Job Scope.


Why Field Notes Matter

Field Notes help keep everyone working from the same information.

Instead of relying on phone calls, text messages or memory, important project information is stored against the Job where it can be accessed by the entire team.

This creates a complete history of the project from the initial site inspection through to completion.


Best Practice

  • Read the existing Field Notes before arriving on site.
  • Add notes as work progresses rather than waiting until the end of the day.
  • Take photos of receipts as soon as purchases are made.
  • Record unexpected issues while they are fresh in your mind.
  • Keep notes clear, factual and professional.
