Understanding Job Statuses

Overview

Job Statuses show where a Job is within its operational lifecycle, from preparation through to completion or abortion.

The standard Job workflow is:

Preparation → Pending → Current → Completed or Aborted

Different businesses may use the statuses slightly differently, but this is the workflow they were originally designed for.


Preparation

When a Quote is approved and a Job is created, the Job begins in Preparation status.

This stage is used to complete everything required before the work can begin.

Preparation may include:

  • Scheduling staff.
  • Completing the Job Checklist.
  • Preparing the Job Hazard Analysis (JHA) or Safe Work Method Statement (SWMS).
  • Ordering materials.
  • Organising machinery or equipment.
  • Applying for permits.
  • Completing other project-specific preparation tasks.

Task Boards can be particularly useful during this stage, as they allow you to create and track multiple preparation tasks for the Job.


Preparation Complete

Once everything has been prepared and the Job is ready to proceed, click Preparation Complete.

This changes the Job Status from Preparation to Pending.


Pending

A Job in Pending status is fully prepared and ready to begin.

At this stage, you're simply waiting for the scheduled work date to arrive.

A Pending Job can be started in either of two ways:

  • Click Start Job from the desktop.
  • Have the first technician clock in from their mobile device when they arrive on site.

Either action will automatically change the Job Status from Pending to Current.


Current

A Job in Current status has started and work is underway.

Once the Job is Current, you have two main options:

  • Job Completed
  • Job Abort

Completed

Select Job Completed once the work has been finished.

This changes the Job Status to Completed.

Completing the Job will also automatically create an Invoice for the project.


Aborted

Select Job Abort when the project will not proceed any further.

This changes the Job Status to Aborted.

An Aborted Job will not proceed to Invoice creation.


Best Practice

  • Use the Preparation stage to complete all scheduling, safety documentation, purchasing and permit requirements before the Job begins.
  • Use Task Boards to manage and track preparation tasks that involve multiple people or steps.
  • Only select Preparation Complete once everything is ready for the technicians to begin work.
  • Allow the first technician's mobile clock-in to start the Job automatically where appropriate.
  • Use Job Completed only when the project is finished and ready to be invoiced.
  • Use Job Abort when the project has ended and no Invoice should be created.
