Understanding Checklist Automation

Overview

The Checklist is much more than a simple list of reminders.

Within JGID, it acts as one of the key automation engines that drives your Quote, Job and Job Hazard Analysis (JHA).

When combined with the Master Matrix, the Checklist can automatically add content to multiple parts of your workflow, reducing manual entry and helping ensure your documentation remains consistent.


How Checklist Automation Works

When you complete the Checklist on a Quote, JGID can automatically populate information throughout the project.

Depending on your Master Matrix configuration, the Checklist can automatically generate:

  • Quote Clauses.
  • "Provided By Us" items.
  • "Provided By Others" items.
  • Job Hazard Analysis (JHA) content.
  • Equipment, materials and PPE reminders for your field staff.

This means you only need to select the relevant Checklist items once.


Quote Templates and the Checklist

When you save a Quote as a Template, you're not just saving the Quote layout.

You're also saving the Checklist that belongs to that Quote.

Every new Quote created from that Template inherits the Checklist, allowing JGID to automatically generate the correct documentation for that type of work.

This makes Quote Templates a powerful way to standardise both your Quotes and your operational processes.


Equipment & Resource Reminders

Checklist items can also help prepare your technicians before they arrive on site.

For example, you can include Checklist items for:

  • Access equipment.
  • Working environments.
  • Tools.
  • Materials.
  • Consumables.
  • Instruments.
  • Personal Protective Equipment (PPE).
  • Other services.

These selections can automatically populate equipment and resource pick lists, helping remind your team what may be required before leaving for site.


Best Practice

  • Build your Quote Templates around the Checklist, not just the Quote layout.
  • Configure your Master Matrix so Checklist selections automatically generate the appropriate Clauses, "Provided By" sections and Job Hazard Analysis.
  • Review your Checklist before finalising each Quote to ensure all relevant automation has been triggered.
  • Remember that completing the Checklist early is one of the biggest time-saving steps when creating a Quote.
