Saving a Quote as a Template

How to Save a Quote as a Template

Before You Start

If you've created a Quote that you're likely to use again, you can save it as a Quote Template.

This allows you to reuse the structure, Items and other content for future Quotes, reducing data entry and helping maintain consistency across similar projects.

Any Quote that is still in Draft can be saved as a Template.

Step 1 - Opening a Quote You Want to Use

  1. Open the Quote while it is still in Draft.
  2. Click Save Quote as Template.

Step 2 - Name & Save The Template

  1. Enter a suitable Template name.
  2. Save the Template.

The Template will now be available the next time you create a Quote.

When Should You Save a Template?

Saving a Template is useful when you regularly prepare similar Quotes.

Examples include:

  • Standard maintenance works.
  • Recurring inspections.
  • Common service packages.
  • Frequently quoted installations.

Rather than starting from scratch each time, you can begin with a proven Quote structure and simply make any project-specific adjustments.

Real-World Example

In the construction industry, it's common for several companies to request pricing for the same project.

Instead of preparing each Quote individually, you can:

  1. Create the first Quote.
  2. Save it as a Template.
  3. Create new Quotes for the remaining clients using that Template.

This significantly reduces preparation time while ensuring each Quote remains consistent.

Best Practice

  • Save Templates only after you've created a well-structured Quote.
  • Use clear Template names so they're easy to identify later.
  • Regularly review your Templates to ensure they reflect your current pricing, wording and business practices.

Summary

  1. Open the Quote while it is still in Draft.
  2. Click Save Quote as Template.
  3. Enter a suitable Template name.
  4. Save the Template.
