Understanding Quote Statuses

Before You Start

As a Quote progresses through your sales process, its status changes to reflect where it is in its lifecycle.

Understanding each status will help you keep your Opportunities organised while maintaining a complete history of your quoting process.


Status - Draft

A Quote begins in Draft status.

While a Quote is in Draft, you can:

  • Edit all Quote details.
  • Import a different Quote Template.
  • Save the Quote as a new Template.
  • Download or Preview the Quote.
  • Mark the Quote as Completed when it is ready.

Status - Pending

Once you click Quote Completed, the Quote moves to Pending.

A Pending Quote is ready to be issued to your client.

From this status you can:

  • Send the Quote.
  • Download the Quote.
  • Save the Quote to your connected Cloud storage.
  • Accept the Quote.
  • Supersede the Quote.
  • Decline the Quote.
  • Return the Quote to Draft.

Status - Accepted

When a client accepts your Quote, select Quote Accepted.

Accepting a Quote creates a Job, allowing work to be scheduled and managed within JGID.


Status - Superseded

Use Quote Superseded when the Opportunity is still active, but this particular Quote is no longer the current version.

This commonly occurs when:

  • A revised Quote has been issued.
  • Pricing has changed.
  • The scope of works has been updated.

Superseded Quotes remain part of the project's history and can be reactivated if required.


Status - Declined

Use Quote Declined when the client has decided not to proceed with this Quote.

Unlike a Superseded Quote, a Declined Quote indicates that this version has been rejected rather than replaced.


Returning a Quote to Draft

If you discover a small mistake after completing a Quote, you can return it to Draft, make the necessary corrections and complete it again.

For larger revisions, it's generally recommended to create a new Quote version instead.


Best Practice

  • Use Draft while preparing your Quote.
  • Move the Quote to Pending only once it has been fully reviewed.
  • Use Accepted to create the Job.
  • Use Superseded instead of overwriting Quotes that have already been issued.
  • Use Declined when the client chooses not to proceed.
  • Return a Quote to Draft only for minor corrections.
